Overview

User Profiles control what each specific user or group of users gets to see and do with Salesboom. Salesboom comes pre-built with many standard profiles and customizable profiles in Professional and Enterprise Edition. You can create a specific profile one per user, or assign many users to the same profile.

You can set up a user Profile to give edit, delete, create and view privileges as well as specific process management privileges on the following record types:

Profiles are now active for Employees/Policies and Violations. There new profile categories are created: Employee, Policy and Violation with the following permissions:

Create, Delete, Edit, View and View Reports

There is a new Standard Profile named "Standard HR Manager" which has all the above permissions turned on. "System Administrator" also has all the permisions enabled.

  • Only Internal, Professional & Enterprise users can add or clone profiles. (so users of Team edition, etc. can only view the standard profiles.) Users can also create new profiles off of their custom profiles, not just standard profiles.
  • User can clone as many profiles as they like (e.g. make a clone of a clone, etc.) and there is a record kept of the standard profile they all originate from.
  • Standard Profiles - can edit standard profile permission settings
  • Added support for Reports/Service options to Profiles
  • "Import ..." links in Control Panel can now be controlled via profiles.
  • The "My Agenda" panel no longer completely disappears when a user cannot view events in their profile. (only the events themsleves disappear now.)
  • If a user cannot create events, the links along the left side of the agenda, (the ones with the date as their title) are disabled
  • The "Create..." menu in the upper right can now be completely controlled via Profiles.
  • Added Create/View options to E-mail profile settings

Creating and Editing Profiles

To create, edit, or delete profiles:

  1. To view a profile, click Control Panel | User & Role Management | Manage Profiles, and select the name of a profile then Click View.
  2. To create a new profile, click Add Profile on the profile list page. Give the new profile a name, choose what functions to allow/disallow and click Save. Then, click Edit to change the profile as necessary. Alternatively, view an existing profile and click Clone.
  3. To edit a custom profile, click View on the profile list page then click Edit. Modify the profile name, description, tab settings, and permissions as needed.
  4. To delete a custom profile, click Delete on the profile list page.

Note: Profiles never override your organization’s sharing model or role hierarchy. For example, the Standard User profile gives a user access to create, edit, and delete leads. However, a user with this profile cannot edit or delete other users’ leads if your organization’s sharing model is Read Only for leads.


Managing Profiles

A profile defines a user’s permission to perform different functions within Salesboom.com applications such as import/export of data, managing and adding Users, customizing tabs, managing workflow and more. Profiles also control the following:

  • The field-level security access that the user has to view and edit specific fields. (e.g. Only the Standard Solution Manager profile can include a solution in the public knowledge base, therefore that profile will be the only one to edit the field Add To Public Knowledge Base)
  • Which tabs the user can view and what order.
  • The hours and IP addresses from which the user can or cannot log in.

To create, edit, and delete profiles click Control Panel | User & Role Management | Manage Profiles.

Note: in the Team Edition, you will only be able to view and assign standard profiles. To create new custom or edit existing profiles, your organization must be subscribed to the Professional or the Enterprise Edition. For the standard profiles, only certain settings can be changed.

Turning off Tabs and panels for all users assigned to a Profile

  • When a "view" option is unchecked, it's tab will not be displayed for any user assigned that profile. (e.g. if "View" under Accounts is not checked, the Accounts tab will not be shown.)
  • "My Agenda" (Event->View profile option) can be turned off by editing a user’s profile
  • "My Tasks" (Task->View) panels in the "Home" section ) can be turned off by editing a user’s profile

Adding "Manage Public Knowledge Base" ability to profiles

Users with the appropriate profile have the ability to manage the organization’s Public Knowledge base. Public knowledgebase management is allowed only by users with the following Profiles:

  • System Administrator
  • Standard Solution Manager
  • Custom Profile built from Standard Solution Manager

Profiles are now active for Employees/Policies and Violations


Disabling a Tab in the Related Records Section

(e.g. "Notes" in the cases view for example) with profiles.

Standard Profile "Standard HR Manager" has priviledges of a Standard user plus has the ability to manage, ie Create, Delete, Edit, View and View Reports permissions on:

  • Employees
  • Policies
  • Violations

There is a new all the above permissions turned on. (I cloned it from the Standard User profile.), "System Administrator" also has all the permisions enabled.

All other profiles can only view Employees and Policies.

You can now disable a related report tab (e.g. "Notes" in the cases view for example) with profiles.

Profiles can now be assigned Login Preferences.  You can create/edit new login preferences by going to "Manage Profiles->Login Preferences"


Setting User Login Hours Restrictions (Rules)

  1. Selecting a range like "From: Sunday through Sunday" means that the login hours start on sunday and finish at the end of the SAME Sunday.  (so they just apply for one day, Sunday)
  2. To do a whole week you would choose: "From: Sunday through Saturday", so it means starting on Sunday and going through to the end of Saturday.  Thus weekdays would be "From: Monday through Friday".
  3. Selecting " -- None -- " for both start/ending hours means that the user can login for the entire day, every day. (24/7/365)
  4. The starting hour must be less than the ending hour. e.g. from 6 PM to 12 AM"
  5. Setting hours to, for example: "From: 6 PM to 6 PM" blocks access for the entire day.  You can either do this or, just not include the day in the login settings. So if you don't want the weekend, make sure none of the Login Hours entries have Saturday or Sunday in them.

Assigning Login Rules to Profiles

In profiles you can now turn on/off:

  • Import/Imported History ability
  • Export ability
  • Mass Reassign/Mass Delete ability
  • Web Capture ability
  • Access to Workflow and User & Role Management sections in the Control Panel
  • Customize Tabs link in the CRM Administration section in the Control Panel
  • Login restrictions

Standard Profiles

(The standard profiles available vary according to which Edition you have.)

There are standard profiles in every Salesboom organization. Some profiles are not available in Team and Professional Editions.

Profile Name Available Permissions
System Administrator Can configure and customize the application. Has access to all functionality that does not require a different profile. For example, administrators cannot publish solutions on the public knowledge base unless they switch to a Solution Manager Profile. Can manage price books and products. Can edit any quota, override forecasts, and view any forecast. Can’t edit, or delete users with Super user profile. Can’t access financial information. System Administrator will not be able to un-administer themselves.
Super User Same like System Administrator, but with full access.
Standard User Can create and edit most major types of records, and run reports. Can view, but not manage, campaigns. Can create, but not review or publish solutions. Can edit personal quota and override forecasts. Can create, but not approve or reject contracts.
Solution Manager Can review and publish solutions. Also has access to the same functionality as the Standard User.
Marketing User Can manage campaigns, import leads, create letterheads, create HTML email templates, manage public documents, and update campaign history via the import wizards. Also has access to the same functionality as the Standard User.
Controller User Can create, edit, activate and delete invoices. Can manage payments and settle invoices. This profile can also delete contracts as long as they are not activated.
Contract Manager Can create, edit, activate, approve and reject contracts. This profile can also delete contracts as long as they are not activated.
Read Only Can run and export reports, and view, but not edit, other records.

In Team Edition, you can assign the included standard profiles to your users. However, you cannot view or edit the standard profiles or create custom profiles. In Professional and Enterprise Editions, you can use the standard profiles or create, edit, and delete custom profiles. For the standard profiles, only certain settings can be changed.
