Understanding User Profiles in Salesboom CRM

A User Profile defines exactly what a user or group of users is permitted to see and do within Salesboom — at the record level, field level, tab level, and login level.

Profiles define Create, Edit, Delete, and View rights on specific record types — Accounts, Leads, Cases, Employees, Policies, Violations, and more. Each permission can be toggled independently per profile.

Unchecking View for any module removes its tab entirely for that profile. Field-level security restricts which specific data points a user can see or edit within a record.

Built-In Standard Profiles for Every Role

Salesboom ships with nine standard profiles designed to cover the most common organizational roles. Assign them immediately — no configuration required.

Administrator

System Administrator

Full configuration and customization access across the application — price books, products, quotas, and forecasts. Cannot edit Super User accounts or access Controller-restricted financial data.

Highest Privilege

Super User

All System Administrator capabilities plus unrestricted full access — including areas locked to standard administrators. The highest-privilege profile in the system.

Baseline

Standard User

The baseline profile for most team members. Can create and edit major record types, run reports, view campaigns, create solutions (not publish), edit personal quota, and create contracts (not approve).

Support

Solution Manager

Inherits all Standard User permissions plus the exclusive ability to review and publish solutions to the Public Knowledge Base — a privilege unavailable to any other standard profile.

Marketing

Marketing User

Standard User access plus campaign management, lead import, letterhead creation, HTML email templates, public document management, and campaign history import capabilities.

Finance

Controller User

Can create, edit, activate, and delete invoices, manage payments, and settle invoices. Also able to delete non-activated contracts. Designed specifically for finance team members.

Legal

Contract Manager

Can create, edit, activate, approve, and reject contracts, and delete non-activated contracts. Built for legal and contract operations teams managing the full contract lifecycle.

HR

Standard HR Manager

Standard User access plus full Create, Delete, Edit, View, and View Reports permissions on Employees, Policies, and Violations. All other profiles are limited to view-only for these record types.

View Only

Read Only

Can run and export reports and view records — but cannot create or modify any data. Ideal for executives, auditors, or external stakeholders who need visibility without editing rights.

Beyond basic record permissions, Salesboom profiles provide deep configuration options to tailor the user experience precisely to each role.

Tab and Panel Visibility

Unchecking View for any module removes its tab entirely for all users on that profile — including My Agenda and My Tasks panels. A cleaner interface means faster, more focused work.

Related Record Tab Management

Disable specific related record tabs within a record view — for example, hiding the Notes tab inside Cases — to reduce clutter and keep each role focused on the data they actually need.

Login Hour Restrictions

Define day ranges and hour windows for CRM access per profile. Set both start and end to the same hour to block an entire day, or set both to None for unrestricted 24/7 access.

Functional Permission Toggles

On/off switches control import, export, mass reassign, mass delete, web capture, workflow management access, User & Role Management in the Control Panel, and the Create menu.

Public Knowledge Base Management

Only System Administrator, Standard Solution Manager, and custom profiles derived from Solution Manager can publish to the public knowledge base. All others — including Super User — are excluded.

Unlimited Profile Cloning

Clone any profile — including clones of clones — with no depth limit. Each custom profile retains a traceable reference to the original standard profile it derives from for complete audit lineage.

Profile Management

How to Create, Edit, Clone, and Delete User Profiles

Profile management is handled entirely through the Salesboom Control Panel. Navigate to: Control Panel → User & Role Management → Manage Profiles.

View a Profile

Click the profile name from the Manage Profiles list, then click View to see its full configuration — permissions, tab settings, login restrictions, and all functional toggles.

Create a New Profile

Click Add Profile, name it, configure the baseline permissions, and save. Then click Edit from the view page to refine tab settings, login hours, and functional toggles further.

Clone an Existing Profile

Open any profile and click Clone to create a copy — useful for building role variations off a standard base without reconfiguring permissions from scratch. Clone depth is unlimited.

Edit a Custom Profile

Click View on the profile list, then click Edit to update its name, description, tab settings, login preferences, and all permission toggles. Only custom profiles are editable in full.

Delete a Custom Profile

Click Delete from the profile list page to remove a custom profile. Standard profiles cannot be deleted. Ensure no active users are assigned before deletion to avoid access disruption.

Important: Sharing Model Interaction

Profiles never override the organization's sharing model or role hierarchy. If a sharing model sets leads to Read Only, users cannot edit other users' leads regardless of profile permissions.

Team Edition

Can view and assign the included standard profiles to users. Cannot view full profile settings, edit standard profiles, or create custom profiles. Profile cloning is not available in this edition.

Professional Edition

Full profile management: view, create, edit, delete, and clone custom profiles. Can modify certain settings on standard profiles. All advanced controls — login hours, tab visibility, functional toggles — are available.

Enterprise Edition

Yes — Professional and Enterprise Edition users can create unlimited custom profiles either from scratch or by cloning any existing standard or custom profile. Team Edition users are limited to viewing and assigning the pre-built standard profiles.

The tab for that module will completely disappear from the interface for every user assigned to that profile. This applies to standard modules like Accounts and Cases as well as home panels like My Agenda and My Tasks.
