The Challenge

Why Disorganized Contacts Are Costing Your Team Time

Sales and service teams that rely on flat, unstructured contact lists waste valuable time searching, filtering, and manually sorting through thousands of records. Without a smart grouping system, contacts become a tangled mess that slows down outreach and makes collaboration nearly impossible.

Hours Lost to Searching

Reps spend hours every week searching for the right contact instead of selling — time that should go toward closing deals.

No Segment Visibility

No clear visibility into which contacts belong to which team, campaign, or initiative causes confusion and missed follow-ups.

Duplicated Outreach

Teams duplicate outreach efforts because there is no shared segmentation structure — the same contact gets messaged twice or more.

Inability to Drill Down

Without sub-groups, there is no way to quickly reach a specific subset of contacts — every search starts from scratch.

Lost Context Across Teams

When contacts are shared across multiple initiatives, context gets lost and teams lose track of relationship history.

Flat List Limitations

Simple flat lists offer no hierarchy, no nesting, and no scalable structure — they break down as your contact database grows.

The Solution

What Are CRM Contact Groups and How Do They Work?

Contact Groups in Salesboom CRM act as a smart, user-specific index creator for your contact database — giving every team member a structured, navigable hierarchy from day one.

Contact Groups in Salesboom CRM act as a smart, user-specific index creator for your contact database. Rather than storing duplicate records, groups create named pointers to your existing contact records — meaning one contact can belong to multiple groups simultaneously without data redundancy. This many-to-many architecture delivers unmatched flexibility for modern sales and service teams.
  • A single contact can appear in both a "VIP Clients" group and a "Q2 Campaign" group at the same time
  • Deleting a group never deletes the underlying contact records — only the grouping index is removed
  • Any user in the organization can create and manage their own groups independently
  • Groups created at the organization level are available across all users

To get teams started immediately, Salesboom automatically creates two default Contact Groups for every account. These defaults create a clean starting hierarchy that teams can extend with as many sub-groups as their workflow requires — no configuration needed.
  • (Organization Name) Contact Groups — the root group for the entire organization, giving administrators a complete top-level view of the full contact database
  • (User Name) Contact Groups — a personal sub-group automatically created for each user, containing only the contacts owned by that individual
  • Default groups are ready to use from day one — no manual setup required
  • Teams can extend the hierarchy with unlimited custom sub-groups beneath the defaults

Salesboom supports multi-level group hierarchies, allowing you to build structured, nested group trees that mirror your organization’s actual structure. For example, create a parent group for "Enterprise Clients" with sub-groups for each region or account tier.
  • Select any existing group and click "Add Group" to create a sub-group beneath it
  • Build as many levels of hierarchy as your workflow demands
  • Navigate from broad organization groups down to highly specific sub-segments in seconds
  • Each level in the hierarchy displays the contact count for instant scope awareness

One of the most important features of Salesboom Contact Groups is data safety. Reorganizing, deleting, or restructuring groups never puts your contact records at risk. Think of Contact Groups as named pointers to contacts, not containers that hold them.
  • Deleting a Contact Group removes only the index links — never the underlying contact records
  • Removing a contact from a group preserves the full contact record in the CRM database
  • Contacts added to a new group are not removed from existing groups — many-to-many is always maintained
  • Reorganize and clean up your group structure at any time with complete confidence

FAQ

Frequently Asked Questions About CRM Contact Groups

Everything your team needs to know before getting started with Contact Groups in Salesboom CRM.

Deleting a Contact Group only removes the group’s index and all of its sub-group links — it does not delete any contact records. Your underlying contact data remains fully intact in the CRM database. Think of a Contact Group as a named pointer to contacts, not a container that holds them. You can safely delete and reorganize groups at any time without any risk to your data.

Yes. Salesboom Contact Groups use a many-to-many architecture, meaning a single contact can be added to as many groups as needed simultaneously. For example, a contact could be in both a "Key Accounts" group and a "2025 Renewal Campaign" group at the same time. This gives your team maximum flexibility to segment and target without duplicating records.

Both. Any Salesboom user can create their own personal Contact Groups, and organization administrators can create shared groups visible across the entire team. By default, Salesboom automatically generates a root group for the organization and a personal sub-group for each individual user — so every team member starts with a ready-to-use grouping structure from day one.

The count is displayed automatically. When you open the "Manage Contact Groups" page, each group link shows the number of contacts it contains — for example, "50 Contacts" — so you can instantly understand the size and scope of every group without needing to open it first.

The recommended photo size is 85 x 85 pixels with equal width and height dimensions. If your image is a different size, Salesboom will automatically resize it to fit the contact profile display. For best visual quality, it is recommended to upload an image that is already close to the recommended dimensions before uploading.

Yes. Salesboom supports multi-level group hierarchies. When managing Contact Groups, you can select any existing group and click "Add Group" to create a sub-group beneath it. This allows you to build structured, nested group trees — for example, a parent group for "Enterprise Clients" with sub-groups for each region or account tier.

Yes. The Contact Groups feature in Salesboom was designed to feel familiar for ACT! CRM users who are accustomed to group-based contact organization. While the user experience is intuitive for ACT! migrants, Salesboom’s implementation delivers significantly more flexibility, scalability, and depth — including organization-level groups, many-to-many architecture, and native integration across the full CRM platform.
