Preparing for a Successful CRM Data Import

A few simple preparation steps will ensure your migration goes smoothly and your records are mapped correctly the first time.

Review Your Existing Data Fields

Familiarize yourself with the data fields currently in use in your existing CRM software so you know exactly what you are working with before export.

Export Your Data as CSV

Export your data as a CSV (comma-separated values) file from your current system. Almost every CRM, spreadsheet, and database tool supports this format.

Review Your CSV Structure

Open the CSV in Excel or Notepad. Each row is one record, and each comma-separated value is a field. Understanding this structure makes field mapping effortless.

Explore Salesboom CRM Fields

Review the available data fields inside Salesboom CRM for Accounts, Contacts, and Leads so you know which Salesboom fields correspond to your CSV columns.

Plan Your Field Mapping

Decide which columns from your CSV correspond to which Salesboom fields before starting the wizard. A clear plan eliminates guesswork and reduces errors.

You're Ready to Import

Once these steps are complete, you are ready to launch the Import Wizard and bring your accounts, contacts, and leads into Salesboom CRM in minutes.

Step-by-Step Process

How to Use the Salesboom CRM Import Wizard

The Salesboom CRM Import Wizard guides you through the entire data import process in a few simple steps. There is no technical expertise required.

Navigate to the tab for the type of data you are importing — Accounts, Contacts, or Leads. Each tab has a Tools section. Click the Import link (e.g., "Import Accounts") to launch the Import Wizard.

In the first step of the wizard, click Browse to locate and upload your CSV file. The file can be stored on your local computer or elsewhere on your local network. Select a previously saved Column Assignment to skip re-mapping fields you have configured before, then click Continue.

In step two, all available Salesboom CRM data fields are listed alongside dropdown menus. Each dropdown contains your CSV column headers (labeled Column1, Column2, etc., based on their order in the file). Select the matching Salesboom field for each CSV column to define your mapping.

Once mapping is configured, save your settings by entering a name in the Save Settings As field. This is especially useful if you plan to import the same type of data again in the future — saving hours of repeat configuration.

Click Continue. An information confirmation box will appear — review and click OK. The import will begin immediately. Each line in your CSV file becomes a new record in Salesboom CRM, owned by the user who performed the import.
Supported Data Types

What You Can Import: Supported Data Types and Limits

Salesboom CRM accepts data from any software that can export to CSV format, including Outlook, Microsoft Excel, and Palm devices.

One Data Type Per CSV File

Each CSV file must contain only one data type. Do not mix accounts, contacts, and leads in the same file. If you need to import all three, use three separate CSV files and run the wizard once for each.

CSV Fundamentals

Understanding CSV Files for CRM Data Import

A CSV (comma-separated values) file stores tabular data as plain text. Understanding its structure makes every import faster and more accurate.

One Row = One Record

Each line in a CSV file represents one record. In a contacts CSV, each row is one contact. In an accounts CSV, each row is one company. The Import Wizard maps these rows directly into Salesboom CRM records.

One Comma = One Field Separator

Each value within a row is separated by a comma. In Excel this appears as individual cells. In plain text it reads as comma-separated values. Each comma-delimited position becomes Column1, Column2, etc. in the wizard.

Example CSV Line

A contacts row might look like: John, Smith, Acme Corp, 555-1234, john@acme.com — each value maps to a different Salesboom contact field.

Export Only What You Need

Not all Salesboom data fields need to be present in your CSV. Export only the fields relevant to your migration. Fields left out of the import can be completed manually afterward.

First Row Drives the Dropdowns

The Import Wizard reads values from the first row of your CSV to populate the dropdown menus in the field-mapping step. This is why a well-organized first record makes mapping significantly faster.

Consistent Mapping Across All Rows

The mapping configuration you define in the wizard is applied consistently to every row in the file. One mapping setup handles the entire CSV — there is no need to configure each record individually.

Field Mapping

Connecting Your Data to Salesboom CRM

Field mapping is the most important step in the data import process. It tells Salesboom CRM how to interpret each column in your CSV file.

📄

How the Mapping Interface Works

All available Salesboom CRM data fields for the selected record type are displayed in step two of the wizard. Each field has a dropdown menu showing the columns from your CSV file as Column1, Column2, Column3, and so on.

The values displayed in the dropdowns come from the first record in your CSV, so you can identify each column by its actual content rather than just a number.
🔗

Completing the Mapping

Select the correct CSV column for each Salesboom field to complete the mapping. Any Salesboom fields left unmapped will remain blank on the imported records and can be updated later by your team.

Partial imports are fully valid — you do not need to map every column. Import what you have and enrich the records over time as your team settles in.
💾

Save and Reuse Your Mapping

Save your mapping configuration after the first import by entering a name in the Save Settings As field. For recurring imports of the same data type, load saved settings from the Column Assignment dropdown and skip manual configuration entirely.

Pro Tip: Name your mapping configurations descriptively (e.g., "Outlook Contacts 2025") so they are easy to identify during future imports.
Why Use the Import Wizard

Benefits of Salesboom CRM Data Import

Migrating your data into a new CRM is often the most daunting step in adoption. Salesboom's Import Wizard removes the friction entirely.

No Technical Expertise Required

The step-by-step Import Wizard walks any user through the entire process — from file upload to field mapping — without needing IT support or developer assistance.

Compatible with Any CRM or Database

If your current system can export to CSV, it is compatible with Salesboom's import tool. This includes Outlook, Excel, legacy CRMs, ERPs, and custom databases.

Reusable Mapping Configurations

Save your field mapping settings after the first import and reuse them for future imports — eliminating repetitive setup and reducing the risk of mapping errors over time.

Complete Ownership of Imported Records

Every record imported through the wizard is automatically assigned to the user who performed the import, ensuring accountability and clear data ownership from day one.

Flexible and Forgiving

You do not need every field in your CSV to match a Salesboom field. Partial imports are valid — unmapped fields can be completed later as your team settles into the platform.

Fast Migration, Zero Downtime

Import up to 2,000 records per CSV file in minutes. Run multiple imports back to back for large data sets without any system downtime or disruption to other users.

Common Questions

Frequently Asked Questions About Salesboom CRM Data Import

Everything you need to know about importing accounts, contacts, and leads into Salesboom CRM using the Import Wizard.

Salesboom CRM requires data to be in CSV (comma-separated values) format. You can export a CSV from almost any CRM, database, spreadsheet application, or contact manager, including Microsoft Outlook, Excel, and Palm devices.

Each CSV file supports up to 2,000 records per import. This applies to Accounts, Contacts, and Leads. If you have more than 2,000 records of a single type, split your CSV into multiple files and run the Import Wizard separately for each.

No. Each CSV file must contain only one data type. You will need to create separate CSV files for Accounts, Contacts, and Leads and run the Import Wizard once for each data type.

Unmapped fields are simply skipped during the import. The records will still be created in Salesboom CRM, and you can manually fill in the missing field values afterward. You do not need to map every column for the import to succeed.

Yes. During step two of the Import Wizard, you can name and save your current field mapping configuration. The next time you import the same type of data, you can select your saved mapping from the Column Assignment dropdown to skip the manual mapping step entirely.

All records imported through the wizard are automatically owned by the user who performed the import. Ownership can be reassigned manually after the import if needed.

No. Only the fields that exist in your CSV need to be mapped. Salesboom CRM data fields that are not included in your import can be filled in later. This makes it easy to do a partial migration and enrich your records over time.
